Privacy Policy

This policy explains what personal data we collect, how we use it, and the rights you have. It applies to the PrepSuite website (prepsuite.co.uk) and to all of our apps, including CBAT Ready, DAA Ready, Pilot Ready, ATC Ready, Assessment Ready and NEBDN Dental Nurse, together with any future PrepSuite app (the “Services”).

Who we are

The Services are operated by Hamilton Technologies (“PrepSuite”, “we”, “us”), based in the United Kingdom. We are the data controller for the personal data described here. You can reach us at corri.jones@hamiltontechnologies.co.uk.

Information we collect

  • Account information — if you create an account or sign in (with Apple, Google or email), we receive your name and email address. If you use Sign in with Apple, Apple may provide a private relay email instead of your real one.
  • Study data — your practice answers, scores, attempts, progress, topic breakdowns, streaks, study plans and settings. This is saved to your account so it syncs across devices, and stored on your device.
  • Subscription information — if you buy a subscription, we receive your subscription status and history from RevenueCat and the relevant app store. We never see or store your card details; payment is handled by Apple, Google or our payment provider.
  • Anonymous usage identifiers — a random, device-generated ID used for anonymous community statistics and to avoid double-counting. It is not linked to your identity and clearing app data resets it.
  • Marketing and enquiry information — if you join a mailing list or submit an enquiry or lead form, we collect the details you provide (such as email, name and what you tell us) to respond and, where you have opted in, to send you relevant updates.
  • Usage and diagnostic data — aggregate, largely anonymous information about how the Services are used, plus basic technical data needed to run and debug the apps.
  • Support communications — if you email us, we keep your message and contact details to reply.

How we use your information

  • To provide the Services — deliver questions, mark answers, track progress and sync it across your devices.
  • To process and restore subscriptions, and to make a subscription bought in one place work across our app and website.
  • To improve the Services and understand, in aggregate, what helps people prepare.
  • To respond to your enquiries and provide support.
  • To send you updates or offers where you have opted in — you can unsubscribe at any time.
  • To keep the Services secure and to comply with our legal obligations.

Legal bases (UK GDPR)

We rely on: performance of a contract (to provide the Services and your account); legitimate interests (to run, secure and improve the Services and understand aggregate usage); consent (for marketing emails and any optional data sharing, which you can withdraw at any time); and legal obligation where the law requires us to process data.

How we share information

We do not sell your personal data. We share it only with service providers who help us run the Services, under contracts that limit their use of it:

  • Base44 — application backend, authentication and hosting.
  • RevenueCat — subscription management.
  • Apple and Google — sign-in, app distribution and in-app payments.
  • Mailchimp — email lists and enquiry handling (where applicable).
  • Cloudflare — infrastructure, delivery and security.
  • Community platforms — if you choose to join a community (for example a Discord server) you do so under that platform’s own terms and privacy policy.

We may also disclose data if required by law, or to protect our rights, users or the Services.

International transfers

Some of our providers are based outside the UK. Where personal data is transferred abroad, we rely on appropriate safeguards (such as the UK’s adequacy decisions or standard contractual clauses) to protect it.

How long we keep it

We keep your account and study data for as long as your account is active, and support and enquiry records for as long as needed to handle your request and meet our legal obligations. When you delete your account we delete your associated data (see below).

Deleting your account and data

You can permanently delete your account and its data at any time from within the app (Settings → Delete account), or by emailing us at corri.jones@hamiltontechnologies.co.uk. Deletion removes your account record and the study data linked to it. Some records may be retained where we are legally required to keep them.

Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to our use of your personal data, to data portability, and to withdraw consent at any time. To exercise any of these, email corri.jones@hamiltontechnologies.co.uk. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).

Cookies and local storage

Our website and apps use essential cookies and local storage to keep you signed in and remember your settings and progress, and limited analytics to understand aggregate usage. You can control cookies through your browser settings.

Children

The Services are intended for adults preparing for professional and vocational exams and are not directed at children. We do not knowingly collect personal data from children under 16.

Security

We take reasonable technical and organisational measures to protect your data. No method of transmission or storage is completely secure, but we work to keep your information safe and to limit access to it.

Not affiliated with awarding bodies

Our apps are independent study material. We are not affiliated with, authorised or endorsed by any awarding body or organisation whose exams we help you prepare for (including NEBDN, CITB/CSCS, the Royal Air Force, Royal Navy, NATS, EUROCONTROL, the FAA, NAV CANADA and cut-e/Aon). All trademarks belong to their respective owners.

Changes to this policy

We may update this policy from time to time. We will change the “last updated” date above and, where changes are significant, provide a more prominent notice.
